Receive Files from NC Medicaid

Location: Billing > HIPAA Transaction > Transmit to NC Medicaid

Overview

Use the steps below to retrieve files from your NCTracks mailbox through Barnestorm’s SFTP connection.This includes ERA (835), response files (999), and eligibility reports (271).

Screen Layout

Left panel (Local Files): Displays files stored locally on your machine.
Right panel (NCTracks Mailbox): Displays files available to download from NCTracks.

How to Receive Files

From the Barnestorm Office main menu, go to Billing > HIPAA Transactions > Transmit to NC Medicaid.
Wait for a connection to be established.
In the right panel (NCTracks Mailbox), review available files.
- The Responses tab is selected by default (all files).
- Use the file type list at the bottom of the screen to filter results.
- Adjust the cutoff date to view older files, if needed.
Select the file(s) you have not yet received.
- Hold Ctrl or Shift to select multiple files.
Click Receive to download the selected files to your local machine.

Important Notes

Receiving the same file more than once is okay and will not cause issues.
When 999 or 271 files are received, the corresponding local files will update to show:
- Green checkmark = successfully received
- Yellow exclamation mark = issues found
